What we collect
When you sign up for Quove we collect your name, email, the company name and subdomain you choose, and the payment details required by our billing provider. When you use the product, we store the work you create in it:
- Quotes: the customer contact info you enter, the polygons you draw, the measured area and perimeter, and the pricing rules you configure.
- Customers: the contact records, addresses, notes, and tags you keep in your pipeline.
- Invoices and payments: line items, amounts, invoice status, billing cadence, and the payment status returned by our payment processor. We never see or store full card numbers.
- Signatures: when a customer signs an invoice, we store the signature (a drawn image or a typed name), the signer name, the exact consent text shown at signing, and a timestamp.
- Scheduling: bookings, service times, and any notes attached to them.
We also collect basic technical information automatically: IP address, browser, pages visited, and timestamps. We do not sell any of this information.
Your customers' data
When a customer fills out a public quote intake form, requests or accepts a quote, or signs and pays an invoice on your tenant subdomain, the data they enter is stored against your tenant. You are the controller of that data; we are the processor. You can delete any quote, customer, or invoice at any time from your dashboard.
Payments
Online invoice payments are processed by Stripe using Stripe Connect. When a customer pays, their card details go directly to Stripe; Quove never receives or stores them. We store only the amount, the payment status, and the Stripe identifiers needed to reconcile the payment to the right invoice. Stripe acts as its own controller for the payment data it collects, under its own privacy policy.
Electronic signatures
If you collect a signature on an invoice, we capture the signature itself, the signer name, the consent language displayed at the time, and metadata that establishes a record of the act: the signing timestamp, the IP address, and the browser user-agent. This record is stored as written once and is not editable after the fact. We keep it so both parties have evidence of what was agreed and when.
Connected accounts
You can connect third-party accounts to Quove. When you do, we store access and refresh tokens for those accounts, encrypted at rest, along with the granted scopes and the external account identifier. We use them only to perform the syncs you enable:
- Google Calendar: we create calendar events for bookings you schedule (service type, customer name, and time).
- QuickBooks Online: we create customer and invoice records (name, email, invoice description, and amount).
You can disconnect an integration at any time from your settings, which revokes our stored tokens.
Analytics
We use PostHog to understand how the product is used, for example how long it takes to build a quote and where people drop off. We send it product events and page views, not the contents of your quotes or customer records.
Third parties we use
- Clerk: authentication, organizations, and billing.
- Neon: primary Postgres database storage.
- Vercel: application hosting, edge delivery, and file storage for job photos.
- Stripe: invoice payment processing.
- Google Maps: satellite imagery and area calculation. Your customers' addresses, when entered, are sent to Google for geocoding.
- Google Calendar and QuickBooks Online: only when you connect them, for the syncs described above.
- PostHog: product analytics.
Each of these services has its own privacy practices. We share with them only what they need to operate.
How long we keep it
Account and quote data is retained for as long as your subscription is active and for 30 days after cancellation, after which it is deleted. Signed invoices and their signature records may be retained longer where we are required to keep them for legal, tax, or accounting purposes. You can request earlier deletion by emailing support@getquove.com.
Your rights
You can request a copy of the data we hold about you, ask us to correct it, or ask us to delete it. Email support@getquove.com and we will respond within 30 days.
Changes
If we change this policy in a way that materially affects you, we will email the address on your account before the change takes effect.
